migration to campus e-mail system: What you need to know

POST-MIGRATION CHANGES

Username and Password
After the migration of your mailbox, you will use your ONYEN and password to access your mailbox on your desktop and in Web Access. This is the username and password you use to access other University applications, such as TIM, PayStub, and Faculty Central. For more information on the ONYEN, please visit the ITS ONYEN website. For security purposes, Onyen passwords must be changed every 90 days. This ONYEN password management site will give you guildlines on best practices.

Webmail (Campus Web Access)
After the migration of your mailbox, the address for accessing your mail via the web will change to http://outlook.unc.edu.

E-mail Distribution Lists
The names of all SOG e-mail distribution lists will be modified to include "SOG" in order to differentiate them from other distribution lists on campus.  

  • A prefix of “SOG_” will be added to the beginning of each list name. For example, Division Managers will be re-named SOG_Division Managers; Helpdesk will be re-named SOG_Helpdesk, etc.

  • This will not affect our listservs or any published addresses such as sales@sog.unc.edu.

Global Address Book
After migration, the global address book will now include everyone at the University, rather than just those at the School of Government. The information in this address book is collected from the University directory at http://dir.unc.edu.  Please take a moment to confirm your e-mail address and other contact information are correct; if you need to make any corrections you can do so by selecting Update Entry from the left-navigation panel off the homepage.

Changing the Default Global Address Book to only SOG addresses
While having a Global Distribution List consisting of the entire UNC campus provides a convenient advantage when communicating across the institution it can present a challenge when narrowing the search to just SOG users. To address this desire for a more narrowed focus a SOG only address list has been created for us and is available under the Departments section of the address list window.  If you would like to set this to be your default address list:

  1. Go to Tools -> Address Book
  2. Change ‘Show this address list first’ to ‘School of Government’.    Confirm that the bottom box ‘When sending mail, check names using these address lists…’ matches the list below in the order shown.   You may need to add the Global Address List or the School of Government list by using the ‘Add…’ button.

  3. If the School of Government list is not available, close the address book and return to the Inbox.   Choose Tools -> Send/Receive -> Download Address Books… and select the ‘\Departments\School of Government’ from the list and choose ‘OK’.   When the process is complete, repeat steps 1 & 2.

Spam Filtering
The campus system uses Proofpoint to monitor and manage SPAM email.    Users are automatically enrolled in this system, and will receive a daily list of messages that were flagged as suspicious.   More information on how this works and how you can further manage your spam filter is available at the UNC-Chapel Hill Spam Filtering Service.

BlackBerry/iPhone/Palm
All users with a BlackBerry, iPhone, or other mobile device will need to contact the helpdesk at Helpdesk@sog.unc.edu or 962.5487 to have the device reconfigured after the migration. This process will not cause a loss of settings on the device.

Changes to Mailbox Size Limits
After migration, there will be a 1GB limit on the size of your mailbox.   In order to check the size of your mailbox, you can right-click on ‘Mailbox - <Your Name> in your Outlook Folders and choose Properties.   There will be an option to check ‘File Size’ at the bottom of the window.    The size is measured in KB, and 1,000,000 KB = 1GB.

Will this affect my UNC Email?
There will be no change as a result of the migration. You’ll be retaining the username@sog.unc.edu addresses/namespace so if this mail was separate from the username@email.unc.edu mail previously, it will still be that way after you migrate. Basically nothing is changing except the server where the Exchange mail is stored.

If you forwarded your user name@email.unc.edu mail to your username@sog.unc.edu mail, this will continue to work. Whether or not you keep the two mail systems separate is up to you. The migration to central Exchange won’t change this.

It is recommended that SOG users publish their username@sog.unc.edu email as their primary email in the UNC LDAP directory (http://dir.unc.edu). This certainly isn’t required, but it would be appropriate if the SOG address were primary address.  

Your Outlook Calendar Impact
After migration, any sharing permissions you had on your calendar will need to be recreated.   During the transition, you will only be able to share your calendar with other users who have already migrated. After the June 20th migration date for Group 3 sharing will be possible with all SOG users. 

In addition, until all groups have migrated, you will only have accurate Free/Busy information for users within the same migration status.   In other words, if you have migrated, all user calendars in your group and prior will have timely calendar information. The difficulty will be sharing information between migrated and non-migrated groups.  Please confirm appointment times if you are communicating with users outside of your migration status.

If you use Outlook Rules
After Migration, any rules or filters created for e-mail will need to be created, as they will not be transferred.   If you have a small number of rules, it’s best to recreate them; for users with a large number of rules, ITD can assist with a manual import of the prior ruleset after migration.
