Position Summary
This position may be eligible for a hybrid work arrangement.
This position will report to the Finance and Operations (F&O) Service Center of Excellence (SCE) Purchasing supervisor and will provide administrative support for purchasing activities. This position will be responsible for providing a range of duties, including data entry, inputting costs and other pertinent information into the facilities work management system, creating purchase requisitions for customer requests, invoice reconciliation assistance, following up on orders with central purchasing, receiving vendor calls to input information into the inventory management system, providing transaction confirmations and submitting invoices/receipts and following up on outstanding invoices for purchasing program.
The selected candidate will be employed by the School of Government Services (SOG Services), but their work location and reporting responsibilities will be at the F&O Finance SCE. SOG Services assists faculty and staff at the UNC School of Government in carrying out its important mission: to improve the lives of North Carolinians by engaging in practical scholarship that helps public officials and citizens understand and improve state and local government. As a nonprofit organization and an official affiliated entity of the University of North Carolina at Chapel Hill, SOG Services also contributes to advancing UNC-Chapel Hill’s broader mission of academic excellence, research, and public service.
Essential Duties and Responsibilities:
- Self-starter, ability to work independently.
- Ability to create purchase orders and ensure that all orders reach completion.
- Ability to perform data entry, provide customer service, and answer customer calls.
- Ability to research purchase orders and invoices to respond to customer inquiries and issues.
- Ability to perform invoice reconciliation.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Ability to present and explain information, both in writing and orally.
- Ability to perform in a well-organized, detail oriented and multi-tasking work environment.
- Ability to define and resolve problems by using operating procedures and practices.
- Proficiency with Microsoft Office 365 – including Excel, Outlook, Word, and PowerPoint.
Preferred Qualifications, Competencies, and Experience
- Proficiency with Excel pivot tables preferred, but not mandatory.
